TERMS AND CONDITIONS
The fine print, made plain.
Last updated 3 November 2026
1. About us and these terms
These terms apply to every booking made with DaVinci Media Arts and to anyone using our website. By booking a service or paying a deposit, you agree to them.
- Who we are: DaVinci Media Arts is a trading name of Davinci Group Services Limited, a company registered in England and Wales (company number 17242131), registered office 2 Warden Hill Gardens, Luton, England, LU2 7AH. We're a photography and videography team based in Luton, Bedfordshire.
- Contact: davincimediaarts@gmail.com · 07423 105140 · 07352 674031
- Services: weddings and events, brand shoots, short videos and other production work.
- "You" means the person or business making the booking. "We" and "us" mean DaVinci Media Arts.
If a signed booking agreement or quote says something different from these terms, the booking agreement takes priority. We may update these terms; the version in force on the date you book applies to your booking.
2. Bookings, deposits and payments
Your date is secured only once we have confirmed the booking in writing and received your deposit.
- Quotes are valid for 30 days. Package prices on our website may change, but the price you booked at is fixed.
- Deposit: a booking fee of 30% is due at booking. It covers the time we hold your date and turn away other work. It isn't refundable, except during the 14-day cooling-off period, if we cancel, or as set out in section 3.
- Balance: the remaining balance is due on delivery of your edited photos and films.
- Add-ons (extra hours, extra edited images, reels, extra revision rounds, extended licences) are charged at the rates shown on our website or in your quote. Extra hours added on the day are invoiced afterwards and due within 7 days.
- Late payment: we may hold back delivery of your full-resolution files until any overdue amount is paid.
- Travel: travel within 10 miles of Luton is included. Beyond that, travel is charged at £0.30 per mile, and any accommodation needed is quoted separately.
- Payment is by bank transfer, in pounds sterling.
3. Cancellations, postponements and refunds
Your 14-day right to cancel
If you book as a consumer (for yourself, not a business) online, by phone or by email, you have 14 days from the day we confirm your booking to cancel for any reason and get a full refund, including your deposit. We'll refund you within 14 days of hearing from you, by the same method you paid.
If you ask us to start work within those 14 days (for example, a shoot or planning call), you'll pay a fair amount for the work already done. If we have finished the whole service within those 14 days at your request, the right to cancel no longer applies.
To cancel, email davincimediaarts@gmail.com with your name, booking reference and the words "I wish to cancel my booking". You can also use the cancellation form below, but you don't have to.
After the 14 days
If you cancel, the deposit is kept and later payments are charged as below.
| Notice given before the date | What you pay |
|---|---|
| More than 90 days | Deposit only |
| 30 to 90 days | 50% of the total fee |
| Under 30 days | 100% of the total fee |
- Rescheduling: you can move your booking to a new date free of charge if you tell us at least 48 hours before the shoot or event, as long as we're available on the new date. Your deposit transfers to the new date. If we aren't available, the cancellation table above applies.
- If we cancel: if we cannot attend because of serious illness, injury or an emergency, we will try to arrange a suitable replacement photographer or videographer. If you don't accept the replacement, or we can't find one, we will refund everything you have paid, including the deposit.
- Events outside anyone's control (severe weather, venue closure, government restrictions): we will work with you to rebook first. If that isn't possible, we will refund all payments, less any reasonable costs we have already spent on your booking, which we'll show you.
- All cancellations must be made in writing to davincimediaarts@gmail.com.
4. Coverage, delivery and turnaround
We deliver edited work by private online link within the turnaround stated in your package.
- Coverage hours are as listed in your package. Time starts at the agreed start time, even if the event runs late. Extra hours can be added on the day at the add-on rate, if we're available.
- Creative style: you book us for our style and judgement. We will follow your shot list where we reasonably can, but we cannot guarantee every moment, person or shot, especially where the venue, weather, lighting or schedule limits us.
- Venue rules: some venues and officiants restrict photography or filming. We will follow their rules, and this is not grounds for a refund.
- Turnaround: Eternal and Timeless within 5 days; Forever within 7–14 days for the full film; brand and other work as listed with the package or in your quote. We will tell you promptly about any delay.
- Edits and revisions: you get the revision rounds listed in your package, or one round of reasonable changes to films where none are listed. Further changes, or requests for unedited footage or RAW files, are charged separately. RAW files are not normally supplied.
- Meals and breaks: for coverage over 6 hours, we ask for a hot meal and a short break for each team member.
- Storage: please download your files promptly. We keep a backup for 12 months after delivery, after which it may be deleted.
5. Copyright, usage and licensing
We keep the copyright in all photos and films we create; you receive a licence to use them as set out below.
- Personal licence (weddings and events): you may print, share and post your images and films for personal, non-commercial use. Please credit @davinci_media.arts when posting online where you can.
- Commercial licence (brand shoots and short videos): businesses may use the delivered work on their own website, social media and marketing for the period stated in the quote. Paid advertising, resale, broadcast or use by third parties needs the extended commercial licence (£50) or a separate agreement.
- No editing by others: please do not apply filters, re-edit or re-grade our work and present it as ours.
- Our portfolio: we may use selected images and clips on our website, social media and marketing. If you would prefer we did not, tell us in writing before your event and we will respect it.
- Music: films use licensed music. Some tracks are licensed for personal use only, so posting a film on platforms that flag copyright may lead to it being muted or removed. This is outside our control.
- Your materials: if you give us logos, footage or music to use, you confirm you have the right to use them.
6. Liability, privacy, website use and governing law
Our total liability for any booking is limited to the amount you paid for it.
- Equipment failure or loss: we use professional equipment and back up files on the day. In the rare event that files are lost, damaged or corrupted, we will refund a fair proportion of the fee for the affected work.
- What we are not responsible for: indirect losses, or problems caused by guests, venue staff, other suppliers or information you gave us that was wrong.
- Your legal rights: nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or your statutory rights under the Consumer Rights Act 2015.
- Conduct: we may stop coverage if any team member is treated abusively or put at risk. No refund is due for time lost this way.
- Privacy: we use your personal details only to deliver your booking and contact you about it, in line with UK GDPR. See our privacy notice for details.
- Website use: all content on this site belongs to DaVinci Media Arts. You may not copy, download or reuse our photos, videos or text without written permission. We try to keep site information accurate but do not guarantee it is always complete or up to date. Links to other sites are provided for convenience only.
- Complaints: contact us first at davincimediaarts@gmail.com and we will reply within 14 days.
- Governing law: these terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland, you can also bring a claim in your local courts.
